Contract Administrator

Position Overview:

We are seeking a highly organized and detail-oriented Contracts Administrator to join our team in the fire protection industry. As a Contracts Administrator, you will be responsible for managing and coordinating all aspects of contract administration, ensuring compliance with contractual obligations, and supporting the efficient operation of the contracts process. Your role will involve reviewing contracts, negotiating terms and conditions, maintaining contract documentation, and collaborating with various stakeholders. This position requires excellent communication skills, strong analytical abilities, and a thorough understanding of contract management principles. Key Responsibilities:

  1. Review and analyse contract terms and conditions to ensure compliance with company policies, legal requirements, and industry standards.
  2. Coordinate the preparation and distribution of contract documents, ensuring accuracy and completeness.
  3. Collaborate with internal departments, such as legal, finance, operations, and sales, to ensure seamless contract administration throughout the organization.
  4. Negotiate contract terms and conditions, addressing any discrepancies or concerns and proposing suitable amendments or modifications.
  5. Maintain a centralized contract database, tracking contract milestones, expiration dates, and other critical information.
  6. Monitor contract performance, identifying any deviations or potential risks, and initiate appropriate actions to mitigate them.
  7. Prepare and maintain contract summaries, reports, and status updates for management and relevant stakeholders.
  8. Act as a point of contact for clients and subcontractors regarding contract-related inquiries, clarifications, and dispute resolution.
  9. Collaborate with the procurement team to ensure timely procurement of materials and services in alignment with contract requirements.
  10. Stay informed about changes in relevant regulations, industry trends, and best practices in contract administration.

Qualifications and Skills:

  1. Proven experience as a Contracts Administrator or in a similar role, preferably in the fire protection industry or a related field.
  2. Strong understanding of contract management principles, legal terms, and conditions.
  3. Excellent written and verbal communication skills, with the ability to communicate complex contract information effectively.
  4. Strong attention to detail and analytical skills, with the ability to review and interpret contract documents accurately.
  5. Proficiency in using contract management software and tools to maintain contract databases and track key contract information.
  6. Ability to negotiate terms and conditions and resolve contract-related disputes in a professional and effective manner.
  7. Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  8. Ability to collaborate effectively with cross-functional teams and build positive working relationships.
  9. Knowledge of fire protection systems, terminology, and industry standards is desirable.
  10. Familiarity with relevant legal and regulatory requirements, such as construction law and contract law, is a plus.
